1. User of the campervan
Please take care whilst using our vehicles. The cost to repair any loss or damages to either the interior or exterior will be taken out of the security deposit. Where the cost of loss or damages exceeds the value of the security deposit, the hirer will remain liable for the reasonable costs incurred to return the van to its former condition.
Smoking in the vehicle is against the law. We reserve the right to impose additional cleaning charges should evidence of smoking be detected in the vehicle.
The hirer agrees that the vehicle will not be:
- Driven in a dangerous, reckless manner which could cause increased risk of damage or injury.
- Driven whilst under the influence of alcohol or drugs, or in any other illegal manner.
- Driven by anyone other than the driver(s) named on the Rental Agreement.
- Used to carry more passengers than the available belted seats in the vehicle.
- Left unlocked or with the ignition key in or on the vehicle whilst unattended.
- Driven above the speed limit or in violation of any other driving laws.
- Driven off road.
- Used to carry passengers or goods for hire or reward.
- Used to tow any vehicle or trailer.
- Used for commercial or business purposes.
2. Booking confirmation
A deposit of 25% of the total booking fee will be payable to confirm the booking. Once this has been completed and all necessary documents have been uploaded you will receive an email to confirm the booking. All bookings are final and non-refundable other than as described in the cancellation policy outlined below. Payment in full must be received 42 days prior to your collection date.
3. Security deposit
A £500 security deposit must be paid and cleared at least 48 hours before the agreed rental period. This is fully refundable on agreement that no loss or damage has occurred during the rental period. Failure to provide this security deposit for any reason will result in non-refundable cancellation of the service. A request shall be made for the security deposit payment 7 days before collection. This can be made by debit or credit card or bank transfer.
4. Refund of security deposit
The £500 security deposit is fully refundable on agreement that no loss or damage has occurred during the rental period. Once the vehicle is returned, we will check it with the hirer to ensure no damage has occurred before releasing the deposit. Return of funds will depend on bank processing time.
If the hirer declines to participate in a full vehicle inspection, they will remain liable for any loss or damage discovered.
5. Insurance
Comprehensive insurance is provided for one driver for the duration of the hire period for travel within the UK. All drivers must be between the ages of 25 and 75 and have at least 2 years driving experience with a Full UK or EU licence. Additional drivers can be added at an additional cost of £50 per driver.
Where any insurance claim is made during or as a result of the rental period, the hirer is responsible for any excess payable to the insurance company.
Travel outside of the UK is not permitted.
Documentation required for insurance purposes:
- Copy of the photo card driver’s licence (address & ID must be up to date)
- A cleared traceable security deposit of £500 as mentioned above.
- Signed rental agreement
- Two proofs of address from separate sources no more than 3 months old.

- Electricity
- Water
- Gas
- Broadband/Landline
- Council tax
- TV licence
- Bank Statement
- Credit card bill / statement
- Mortgage statement
- Polling card
- HMRC self-assessment / tax credit
These documents will be requested during the booking process.
6. Endorsements and Convictions
- Two 3 point convictions are acceptable (e.g., 2x SP30s, 3 points each)
- Single 6 point SP30, SP50 and CU80 are acceptable subject to an additional 1000 excess.
- No more than one fault or outstanding incident/claim in the last three years.
Failure to disclose any relevant history may result in invalidation of insurance, for which the hirer remains liable.
7. Collection and return
The vehicle will be collected from Unit 5 St. Clears Business Park, Tenby Road, St. Clears, Carmarthenshire, SA33 4JW. Vehicles will be available for collection from 15:00 on the day of hire. A one hour time slot will need to be selected during booking. Please allow up to one hour for a pre-hire vehicle inspection and for us to provide safety instructions as well as information on the vehicle and the hire.
The vehicle must be returned to us in the same condition as it left us. While we do conduct our own thorough clean when the van is returned to us, we require that the van be returned in a generally clean and tidy condition (including all cooking utensils and appliances). There will be a cleaning charge of £50 if a deep clean is required. This would be deducted from the security deposit.
The vehicle must be returned to our workshop no later than the time agreed at booking. Late returns will be charged at £30 per hour.
The vehicle will be supplied with a full tank of fuel and must be returned with a full tank of fuel. Hirers who return vehicles with less fuel than a full tank will be subject to a refuelling fee of £25 plus the cost of refuelling, this will be deducted from the security deposit.
The closest petrol station is Ascona Ivy Service Station, SA33 4JP, which is a 4 minute drive from the return location.
8. Cancellations by you (voluntary cancellations)
Voluntary cancellations will be subject to following cancellation fees:
(1) If cancelled more than 42 nights prior to pick up: 25% (the deposit) of total hire cost.
(2) If cancelled 28 nights or less prior to pick up: 50% of the total hire cost.
(3) If cancelled 14 nights or less prior to pick up, or no-show: 100% of the total hire cost.
Amendments to your booking will be accommodated where possible and are subject to availability and any appropriate increase in price, as well as a potential administration fee of £50.
If you are unable to attend due to medical conditions, the cancellation fees above apply, however we are willing to discuss, at our sole discretion, any alternatives we may be able to offer. Proof of medical condition may be required.
You agree to be bound by the cancellation and amendment terms as specified during our offer to you.
9. Cancellations by us
We reserve the right to cancel a booking at any time where necessary, such as an event of Force Majeure*; a breach of contract by you including a failure to pay any balance due; harassment or other abusive behaviour towards our employees, customers, or associates; or fraudulent activity. For this purpose, *Force Majeure is defined as storms or weather conditions, earthquakes, floods, war and armed conflicts, transportation strikes or other events or conditions beyond our control which affect our operations. In such an event our liability to you is limited to the refund of all monies paid by you to us.
Whilst every effort is made to ensure our vehicles are fully operational there may be instances beyond our control where vehicles will become unavailable at short notice. If we must cancel your booking, we will offer you the choice of an alternative campervan if available or a full refund. The offer of an alternative vehicle or refund shall be an exclusive remedy in respect of any loss, costs or expenses caused by events beyond our control.
10. Breakdown Cover
Full UK breakdown cover is included. Full detail will be given during your handover.
11. Fines, Fees, and Penalty Points
The hirer will be responsible for any penalties or fees incurred during the time of rental. This includes, but is not limited to parking fines, clean air zones fees and traffic violation charges/points during the hire period. The hirer remains responsible for the vehicle during the hire period, including whilst parked. The vehicle should be parked only where parking is permitted and used for camping only where such activity is permitted.
